Importing Students

Learn how to import student data from spreadsheets and set up class assignments.

Prepare Your Data

Before importing, organize your student data in a spreadsheet format. Schoolics supports Excel (.xlsx) and CSV files.

Required Data Fields:

  • First Name: Student's given name
  • Last Name: Student's family name/surname
  • Date of Birth: Format: YYYY-MM-DD or DD/MM/YYYY
  • Gender: Male, Female, or Other
  • Class/Grade: Target class assignment (e.g., JSS1, Primary 2)

Optional but Recommended:

  • Parent/Guardian Name: Primary contact person
  • Parent Phone: Contact number for parent/guardian
  • Parent Email: Email address for parent portal access
  • Address: Residential address

Download Import Template

Use Schoolics' official import template to ensure your data is formatted correctly.

  1. • Navigate to Students → Import Students in the admin dashboard
  2. • Click Download Template to get the Excel/CSV template
  3. • Open the template and fill in your student data
  4. • Save the file with your data

Validate Your Data

Before uploading, ensure your data meets Schoolics' requirements to avoid import errors.

  • No empty required fields: All mandatory fields must be filled
  • Valid date formats: Ensure dates are in the correct format
  • Existing classes: Class names must match classes created in Schoolics
  • Unique identifiers: Avoid duplicate student records
  • Email format: Parent emails should be valid if provided

Upload Your File

Upload your prepared spreadsheet to Schoolics for processing.

  1. • Go to Students → Import Students
  2. • Click Choose File or drag and drop your file
  3. • Select your prepared Excel or CSV file
  4. • Click Upload & Preview

Review and Map Fields

Schoolics will show a preview of your data. Map your spreadsheet columns to Schoolics fields.

  • Review the preview: Check that data appears correctly
  • Map columns: Match spreadsheet headers to Schoolics fields
  • Set default values: Choose defaults for unmapped fields
  • Handle duplicates: Choose how to handle existing students

Process Import

Execute the import and monitor the process for any errors.

  1. • Click Start Import to begin processing
  2. • Watch the progress bar as students are imported
  3. • Review any errors or warnings that appear
  4. • Download error report if needed for corrections

Verify and Assign Classes

After import, verify student records and finalize class assignments.

  • Check student count: Verify the number of imported students
  • Review class assignments: Ensure students are in correct classes
  • Assign sections: Allocate students to specific sections if needed
  • Generate parent accounts: Create portal access for parents

Pro Tips

  • • Import in batches of 100-500 students for better error handling
  • • Keep a backup of your original spreadsheet before importing
  • • Use consistent formatting for phone numbers and dates
  • • Test with a small batch (5-10 students) before full import
  • • Parent emails are required for portal access – ensure accuracy

Common Issues & Solutions

  • Invalid date format: Use YYYY-MM-DD format for dates
  • Class not found: Create classes in Schoolics before importing
  • Duplicate records: Use student ID or unique identifier to avoid duplicates
  • File too large: Split large files into smaller batches
